Change Timesheet Method (Booking Plan)

In short

Use Change Timesheet Method to switch an existing booking between Online (completed online) and Manual (added manually). The change applies to the whole booking, is recorded in the booking log, and is sent to Evertime Pay & Bill in the next Combi.

Summary

Every booking has a Timesheet Method that tells Evertime Pay & Bill how its timesheets are captured:

OptionWhat it means
OnlineTimesheets for this booking are completed online in Evertime Pay & Bill.
ManualTimesheets for this booking are added manually by the agency.

The method is chosen when the booking is added. Change Timesheet Method lets you update it afterwards, for this booking only. The client and agency defaults are not changed.

Where to find it

Candidate notesCandidate > Notes > Show Logs (the change is only shown after clicking Show Logs)

When it applies

  • To any existing booking created by Evertime, Intime and Direct agency users.
  • To the whole booking, from start date to end date, including every weekly placement for that booking. You cannot change part of a booking.
  • To bookings created before the Timesheet Method field was introduced. The window shows the method they currently use (client default, then agency default), and once you save, the booking has its own method.

How to change the Timesheet Method

  1. Open the booking in the Booking Plan and go to Actions > Change Timesheet Method.
  2. Check the booking dates. Booking Start Date and Booking End Date are shown for reference only and cannot be edited.
  3. The Timesheet Method field shows the booking’s current method. If the booking has none of its own, it shows the client default, or the agency default if the client has none.
  4. Select Online or Manual. Hover over the ⓘ icon for a reminder of what each option means.
  5. Click Save. You will see “Timesheet Method updated”, and View Booking Insights shows the new value.
Good to know: saving without changing the value makes no change and adds no log entry.

How it integrates with Evertime Pay & Bill

  • The new method is included as Timesheet_Method (“Online” or “Manual”) on every line for the booking in the next Combi CSV.
  • When that Combi is imported into Evertime Pay & Bill, manually or by Auto-FTP, each weekly placement is updated to the new method, including placements already in Pay & Bill.
  • Until the next Combi is imported, Pay & Bill keeps the previous method.
  • Changing the Timesheet Method does not change any other booking details, such as rates, dates or the AWR Offset.

Frequently asked questions

Will this change the client’s or the agency’s default?

No. It only changes this booking. Client defaults are set on Client > Details, and the agency default in Manage Integrations > Settings.

Can I change the method for just some weeks of a booking?

No. The Timesheet Method always applies to the whole booking.

I changed the method but Pay & Bill still shows the old one.

Pay & Bill is updated when the next Combi is imported. Check that the Combi has been generated and imported (or sent by Auto-FTP).

Where can I see who changed it?

In Booking Plan > Actions > View Booking Log, or in Candidate > Notes after clicking Show Logs.
